1. Our Core Data Commitments

Before the details, here is the short version of how we treat your data:

• We do not sell your data. We do not sell, rent, or trade personal data or customer business data to third parties, ever.
• We do not train AI models on your data. Your operational data (inventory levels, orders, supplier records, etc.) is used only to generate insights and recommendations for you. It is never used to train, fine-tune, or improve any underlying AI model, whether ours or a third party’s.
• We use your data only to deliver the Services. Data connected from your ERP, WMS, carrier, or shop systems is used exclusively to generate demand forecasts, inventory recommendations, exception alerts, and other insights for your business.
• We are GDPR compliant. We follow the data protection principles set out in the GDPR, including lawful basis for processing, data minimization, and honoring your data subject rights, regardless of where you are located.
• We delete data on request. If you ask us to delete your data, we permanently delete it from our active systems within 30 days of a verified deletion request.

2. What Data We Collect

We collect two broad categories of data:

2.1 Website and Contact Data

When you visit our website or fill out a form (e.g., “Book a Demo”), we may collect:

• Name, email address, company name
• Business details you provide (e.g., annual order volume, message content)
• Technical data such as IP address, browser type, device information, and pages visited

2.2 Customer Operational Data

When you use our Services, we connect to systems you authorize (such as your ERP, WMS, 3PL feeds, supplier portals, or shop platforms like Shopify or WooCommerce) to process:

• Inventory levels, SKU, and location data
• Order, shipment, and fulfillment records
• Supplier performance and purchase order data
• Demand and sales signals

This operational data may include personal data incidentally (e.g., a customer name on a shipping record), which we treat with the same protections described in this policy.

3. How We Use Your Data

We use data only for the following purposes:

• To generate insights, forecasts, and recommendations for you within the Services (e.g., replenishment suggestions, exception alerts, risk scoring)
• To operate, maintain, and improve the reliability and security of our platform
• To respond to your inquiries and provide customer support
• To communicate with you about your account, demos, or updates to our Services or policies
• To comply with legal obligations

We do not use your data to train, fine-tune, or improve any AI or machine learning model. Your data is processed to generate outputs for your account only, and is not incorporated into any shared or general-purpose model.

We do not sell your data. We do not exchange your personal data or business data for money or other valuable consideration with any third party, under any circumstance.

We do not use your operational data for advertising, profiling unrelated to the Services, or any purpose beyond delivering insights back to you.

4. Legal Basis for Processing (GDPR)

Where GDPR applies, we rely on the following legal bases to process personal data:

• Contractual necessity – to provide the Services you’ve signed up for
• Legitimate interest – to secure, maintain, and improve our platform, provided this does not override your rights
• Consent – for optional communications (e.g., marketing emails) and non-essential cookies

5. Data Sharing and Disclosure

We do not sell your data. We only share data in limited circumstances:

• Service providers who help us operate our infrastructure (e.g., cloud hosting), bound by confidentiality and data protection obligations, and only to the extent necessary to deliver the Services to you
• Legal compliance – where required to comply with a legal obligation, court order, or governmental request

Deletion requests: If you request that we delete your data, we will permanently delete it from our active production systems within 30 days of verifying your request. Some data may temporarily persist in encrypted backups during this period but will be purged in the normal backup rotation cycle and is not accessible for active use.

As Agentic Machines Sweden AB and Agentic Machines Inc. (Delaware, USA) are related entities, data may be transferred between them, including between the EEA and the United States, for purposes such as shared infrastructure or support. Where personal data is transferred outside the EEA, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses (SCCs) to ensure an adequate level of protection.
